Privacy notice
This notice explains what Pembroke House does with the information you give us through this website, and what rights you have over it.
Who we are
Pembroke House Limited, registered in England and Wales under company number 08372116, registered office Pembroke House, Llantarnam Park Way, Cwmbran, NP44 3AU. We are the data controller for the information described here. You can reach us on 01633 838485 or info@pembrokehouse.biz.
What we collect
If you fill in the enquiry form we collect your name, your company name, your email address, your phone number, what sort of space you are looking for, when you want it, and anything else you choose to write in the message box.
Our hosting provider also keeps standard technical logs of visits, including IP addresses. These are used to keep the site running and secure, and we do not use them to identify anyone.
Why we use it, and our lawful basis
We use what you send us to answer your enquiry and, if it goes that way, to arrange a viewing and talk about terms. Our lawful basis is that the processing is necessary to take steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us about our offices.
We do not add enquiry details to a marketing list and we do not sell or share your details with anyone for their own marketing.
Who else sees it
Only the people at Pembroke House who need to deal with your enquiry.
Two suppliers handle the information on our behalf, and neither may use it for anything else. Our website host, Netlify, Inc., receives the enquiry form and stores it so it can be sent to us. Our email provider then carries the message to our inbox.
Netlify is based in San Francisco, so your information is handled outside the UK. It does so under a data processing agreement that forms part of its standard terms and includes the UK International Data Transfer Addendum, the safeguard UK law requires for transfers of this kind. Netlify holds ISO 27001 certification and a SOC 2 Type II report, encrypts information in transit and at rest, and must tell us within 48 hours if anything goes wrong.
How long we keep it
We keep an enquiry only while we are dealing with it. Once the correspondence has run its course and you have not taken space with us, we delete it.
If you become a client, we keep your information for as long as the relationship continues, and then for six years afterwards, which is what our accounting records require. We delete anything we no longer need.
Cookies
This website does not set any cookies of its own and there is no analytics or advertising tracking on it. That is why you have not been asked to accept anything.
Two things do involve another company. The map on the home page and the contact page is not loaded until you press "Show the map". If you press it, Google supplies the map and may set a cookie on your device at that point, which is why we ask first. Separately, the typefaces used on this site are served by Google Fonts, which means Google receives your IP address when a page loads. No cookie is set by the fonts.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it if it is wrong, ask us to delete it, ask us to restrict how we use it, or object to us using it. Email info@pembrokehouse.biz and we will reply within one month.
If you are unhappy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
